Shell Case Study
Overview
In 2003, Shell was able to streamline and standardize its intranet processes and management approach using Intranet
DASHBOARD®. The company reduced the complexity of its systems and eliminated costly multiple vendor relationships.
Immediate deployment of shared tools and applications created timely benefits for employees without having to wait
months for full implementation. Intranet DASHBOARD was rolled out to 30,000 users within one week. Globally, Intranet
DASHBOARD was deployed over the following month, well ahead of the twelve-month time line envisioned, resulting in
significant cost savings estimated at US $1 million.
Client Profile
Shell operates in over 140 countries and employs more than 112,000 people worldwide. The organization succeeds through
the ability to quickly evolve business models in response to competitive pressures, and to manage world-scale projects
within a global asset base. In 2005, the company achieved profits of approximately US $18 billion.
The Eastern Region of the company deployed Intranet DASHBOARD to over 8000
employees across 20 countries in just one day, and 30,000 employees within a
week. These employees come from diverse cultural backgrounds and speak a
multitude of languages.
A consolidated intranet presence was an obvious way to create synergies between
the 20 countries and staff.
"The company realized cost savings of US $1 million within the first
six months post implementation."
The Challenge
The Eastern Region originally had information and applications spanning more than 520 websites, and 20 geographically
dispersed web servers. To achieve cost savings the company needed to rationalize the number of web servers, and share
applications across countries, languages and cultures. The challenge was to standardize the technologies and eliminate
duplicity in the company's infrastructure, giving it a common platform to easily develop and deploy current and future
applications.
The organization wanted to empower employees to disseminate information and publish to the intranet - quickly. The
process needed to enable even a novice user to publish content. Of the hundreds of sites maintained, the company
envisioned reducing the volume to 50, and subsequently reducing the number of full time publishing roles throughout the
organization.
To meet its financial goals, the company needed a solution that would launch its intranet to the eastern region within seven
months, and globally within one year. In summary they needed a new system that would:
- Offer the company a scalable, 'future proof' platform.
- Provide efficient application deployment and remove untimely and costly application development.
- Eliminate the need to purchase multiple proprietary systems and specialized components.
- Deliver cost reductions in terms of hardware, infrastructure and maintenance.
- Empower novice staff to publish to the intranet quickly.
- Provide multiple communication channels to spread news around the
organization
- Make it easy for staff to control content and produce subsites,
increasing accountability and ownership
- Replace the ad hoc collection of systems and functions, pulling them
into one central interface and platform
- Enable applications to be shared over distributed locations,
customized for differing languages and cultures
The Business Case
Shell deployed Intranet DASHBOARD to provide it with a cohesive solution to manage its diverse and disparate intranet
spaces. It was compelled to implement Intranet DASHBOARD because of its immediate business value and 'fit for purpose'
based on the following benefits:
Centralized access
As a complete intranet management solution, Intranet DASHBOARD consolidates and delivers
pieces of software would otherwise be required to do. It creates a centralized hub from which to
a single intranet site or in this case, a multi-site intranet space with associated user privileges.
Clever tools
The unique collection of smart tools or 'killer apps' contained within Intranet DASHBOARD enhance the intranet,
encouraging employee usage and return visits. They combine features found in disparate applications including, but not
limited to:
- Document Manager, Forums & Contact Manager to enhance your knowledge management strategy.
- Survey Pro & Quick Polls to gauge staff opinions or preferences; gain instant feedback.
- File Express for sending large files.
- Digital Assets Library & Image Library to manage branding.
- Forms Manager to streamline business processes.
- Staff Offers from selected retailers.
- E-Newsletter & Company Calendar to aid internal communications.
- Travel Agent providing all information for the traveling employee.
- Meeting Room Booking & World Time, to better organize meetings and resources.
- Acronym Manager to help understand what people are actually talking about in meetings!
Cost management
Intranet DASHBOARD enables organisations to quickly realise business value by streamlining the creation, management and deployment of their intranet and infrastructure.
Intranet DASHBOARD enables organizations to quickly realize business value by streamlining the creation, management
and deployment of their intranet. Implementation is faster than fully customized solutions, reducing the initial outlay.
Deployed in real time, information becomes immediately available to employees. Furthermore, clever tools eliminate the
need to purchase other proprietary products or add-ons.
"An independent study quoted cost reductions of 70-80 percent for this company."
Work processes
Reducing the need for dedicated publishing staff, Intranet DASHBOARD frees
up people's time to devote to strategic activities. The framework is easily
manageable, reducing the number of web servers and staff required to
maintain the system. An easily customizable layout enables different parts of
the business to respond to different user needs.
Open platform
Using the latest Microsoft® .NET framework, Intranet DASHBOARD was
developed using a multi-tiered, object-oriented architecture, making it easily
scalable and 'future proof'. The Windows®-based platform eliminates the need to purchase additional proprietary systems.
Intranet DASHBOARD is capable of integration with existing applications and enterprise systems through the use of web
services.
Highlights for the Multinational Energy Company
- Standard processes and governance for the intranet.
- Simple site and subsite set-up.
- Standard 'look and feel', but with customizable layout within a centralized hub.
- Simple, robust infrastructure and open platform.
- Shared content and applications across countries.
- Distributed authoring and publishing.
- Multilingual publishing; language localization
The Solution
The Eastern Region of Shell Petroleum lacked an imminent strategic enterprise solution. According to Campbell Dobbin,
CEO of The ADWEB Agency, Intranet DASHBOARD satisfied 90 percent of the company's immediate requirements. The
other ten percent were developed or customized in response to the client's needs.
The number of web servers has been reduced from 20 to 3, resulting in dramatic
hardware and support cost savings. The number of databases on the production
web servers has been reduced from 140 to one single major repository using
Microsoft SQL Server™, further reducing maintenance costs and improving
performance.
The content management process has been revolutionized by allowing both
experienced and novice users to publish to the intranet. No HTML or technical
knowledge is required to administrate web pages or tools. Tools and metadata can
be used to manage content relationships. Furthermore, the company is able to link
business objectives with content clusters and applications, linking them directly to
key performance measures.
"In a study by an independent group, in the first quarter post-implementation, page views rose by 10,000,
usage statistics increased 50 - 60 percent, and at least one third of users started accessing the intranet
regularly."
Further foreseeable benefits include:
- Better decision-making through information sharing.
- Global integration and standardization.
- Improved brand management and consistency of internal brand.
- More effective knowledge and content management; speed to publish.
- Improved employee productivity and effectiveness, realizing ROI.
- Improved communications; employee satisfaction and retention, and identification with the corporate culture.
- Greater staff accountability and empowerment, contributing to continuous improvement.
- Ability to support diverse business unit requirements within a consolidated global context; flexibility and customization.
- Improved stability and better help features, reducing intranet help desk calls.
ROI (Return on Investment)
The company leveraged a common framework across the project, which not only resulted in ongoing cost reductions in
developing intranet functionality, but also helped lower operational and hardware costs. Based on the initial 30,000 users,
the savings were realized in:
- Maintenance costs
- Development costs
- Infrastructure costs
- Staff costs
Coupled with its efforts to reduce the number of vendors it dealt with, the company was able to significantly reduce the
total cost of ownership. Productivity gains were also realized due to the speed of implementation.
"Shell started to benefit from its ROI within the first six months."
